Choosing a time and attendance system

Connect the clock-in device to the rules, approvals and payroll process your organisation actually uses.

Define what a clock-in means

Attendance starts with an event, but payroll requires an agreed interpretation of that event. List the shifts, breaks, overtime approvals, missed punches and corrections the organisation handles today. Include overnight shifts, multiple locations and employees working away from the office.

Decide which system owns the employee record and which system calculates attendance. A terminal can capture a credential and timestamp; scheduling, leave, payroll and approvals normally belong to the management application. Do not assume they are included with the device.

Choose an interaction people can use

Cards, PINs and supported biometric methods have different enrolment and operating needs. Test the interaction with the people who will use it and include an alternative when the primary method is unavailable.

For a shared entrance, distinguish attendance recording from permission to enter. Someone may be allowed into a building without starting a shift. If one terminal serves both functions, define the application behaviour and the event types clearly.

Check the data path

Ask how employee identifiers, timestamps, time zones and device identifiers pass to the host system. Confirm how it handles duplicate events, clock changes, loss of network and records uploaded after reconnection. Agree the correction and approval process rather than silently overwriting records.

Review administrator roles, retention and export requirements with the organisation. Software features alone do not establish compliance with employment or privacy requirements; the operating policy and configuration matter too.

  • Test joiner, role change and leaver workflows.
  • Reconcile a sample period against the existing process.
  • Check access to correction history and exports.
  • Define who can view or amend each record.

Run a representative pilot

Choose a group that covers normal shifts and difficult cases. Include HR, payroll, IT and employee feedback. Compare the captured events, approved exceptions and payroll output before replacing the current process.

Budget for hardware, integration, software licences where applicable, installation, training and support. Discuss the matching device reference with Feocey using your host platform documentation and sample event requirements. That provides a clearer starting point than selecting a screen size alone.
